PSAP Ordering FAQ

Who can order Software licenses from PSAP?

PSAP software licenses can be purchased by K – 12 or recognized independent schools and school districts in British Columbia.  Licenses can be purchased individually (for example, by teachers or school principals) or in multiples (for example, by a school district’s central purchasing).  If you are not sure if you are eligible to purchase PSAP software, email us for more information.

Do I need to complete an online order or can I just FAX the school district Purchase Order?

Every PSAP order must be accompanied by a completed PSAP order form. Purchase Orders that are FAXED alone will not be processed. If you are placing your order online, you do not need to FAX the actual purchase order - there is a field to record your PO number in the online order form.

On the order form, the name of a "Software Contact" is required.  Who is the "Software Contact"?

When ordering PSAP software, the school or school district is buying into our SET-BC provincial license for that software title.  The software is owned by SET-BC and put on long term loan to the school or school district.  The Software Contact is the individual who is listed in our records as the contact for the software.  This person is responsible for knowing where the software is installed and is the only person who can request upgrades for the software if they are available.
On the PSAP Online Order form, the name of the software contact appears under "Contact Information".

What if a district places a large software order that is handled centrally and distributed to several sites? 

This is often the case in school districts where their Central Purchasing Department handles purchase orders for schools.  In this case, the individual placing the order would be listed as the Software Contact and that person is responsible for keeping records as to where the software is distributed. He or she must coordinate any upgrade requests from the various sites as they become available.  If someone who is not listed as the Software Contact calls for an upgrade, he or she will be redirected back to the Software Contact we have listed in our records.

What if the original Software Contact is no longer in the position, school, or district?

If the original Software Contact changes, it is up to the school district to inform us that there has been a change so our records can be adjusted.  Please contact Sandra Sheppard (604-261-9450 ext 306) with that information.

Once I place my order, how quickly will the software be shipped to my school?

The timeline for software shipment depends on the amount and type of software ordered.  Some titles are always "in stock" and smaller orders can usually be filled quickly – within two weeks.  Larger orders, network versions of Kurzweil 3000, or titles that are not in stock must be ordered from the vendor and may take up to 6 or 8 weeks to be shipped.  If quick delivery of software is needed, it is recommended that you call Sandra Sheppard (604-261-9450 ext 306) to obtain an estimated time for delivery.

Do I need to pay for the software with my order?

Schools or school districts can pay for PSAP software with Purchase Orders or, if the amount of the order is less than $1000.00, by credit card. If a payment does not accompany the order, the Billing Contact (identified on the order form) will be invoiced within three weeks of the software being shipped.

Can I be invoiced immediately even if the software is not shipped right away?

School districts ordering software through PSAP can be invoiced upon request once an order has been placed.  Special invoicing requests can be made by contacting Sandra Sheppard (604-261-9450 ext 306).
